How to Ship Internationally

Export

When shipping goods internationally, you will be requested to provide mandatory documents such as an airwaybill and a commercial invoice (for non-documents shipments). Some destinations will require additional shipping documents for smooth clearance of the shipment.

The airwaybill acts a contract between the shipper and the carrier.

The commercial invoice information should be clear and precise as much as possible to enable the clearance of non-document shipment.

What details do I need to provide for the Airwaybill?

1.Shipper’s details

  • Date
  • Account number (if available)
  • Company name
  • Phone number
  • Complete address

2. Receiver’s details

  • Their name
  • Complete address
  • Phone number

3. Shipment details

What details do I need to provide for the Commercial Invoice?

This document should be completed for all non-document shipment. The commercial invoice should be clear and precise with all information in English. For companies, it would be more preferable to have the commercial invoice printed on the company letterhead. The below information needs to be available on this document to avoid any delay for clearance.

  • Shipper’s name, address and contact details
  • Receiver’s name, address and contact details
  • Proper description of product
  • Weight
  • Quantity of goods

Tips

To avoid Customs Delays

Having an accurate, detailed and compatible (consistent across all documents) description of your shipment’s contents can help you to avoid customs delays and ensure a timely customs clearance. While preparing your description, ensure it answers the questions below:

  • What item is it?
  • What is the quantity?
  • What is the material of the item?
  • What is the planned use?

Some examples of a Bad Description and a Good Description

  • It is important to declare the correct value of the items, even if these are given to the recipient free of charge (examples include samples, items for no resale, etc…).
  • Keep multiple-piece shipments together, and label each piece of the shipment individually.
  • Correctly complete all necessary documents. Keep your answers specific, accurate and free of spelling errors.
  • When filling out customs documents, list each commodity separately, and provide a detailed, accurate description of each one, including what it’s made of and how it will be used.
  • Legibly print the commodity’s country of origin/manufacture to indicate where your commodity was manufactured, grown or produced.
  • If you’re using your own broker, please include their complete contact information.
  • Provide phone number or fax information for both the sender and the consignee.
